Description
Rapid Novor Inc., is the world leader in antibody protein sequencing technology. Specializing in the field of mass spectrometry-based proteomics, our team has developed the technology to directly sequence antibody proteins without needing access to the producing cell line. We are the largest privately-owned proteomics mass spectrometry lab in Canada and are engaged in developing complex software to conduct advanced proteomics research. It is our mission is to advance life science for better human health with next generation protein sequencing.
As our business continues to grow internationally, we are looking to add a Sales Operations Coordinator to support the Sales team on various sales processes related activities, primarily for the Greater China market. This role will liaise between our Clients and Operations, to ensure all transactions flow smoothly and according to service level expectations. Communications via phone, email and video conferencing require someone with a professional demeanor and excellent verbal communications skills (proficiency in Mandarin is highly preferred). Someone who can be flexible with their schedule, to work early mornings or evenings to accommodate the difference in time-zones would also be preferred. This role will be located on-site in our offices in Kitchener, ON, to help facilitate the processing of sales orders, receiving samples, and tracking project completion for reporting to customers. The primary duties are as follows:
Responsibilities
  • Maintain sales related information timely and accurately in various systems (Hubspot/ Trello/Slack/Excel).
  • Populate sales agreements and work orders templates quickly & accurately based on inputs from sales team.
  • Work as a key communicator with clients with respect to order preparation, sample shipping, order processing, invoicing, payment, and report delivery.
  • Check-in and monitor status of samples and communicate or solve logistics problems professionally when necessary.
  • Monitor the status of order processing and escalate the issues to sales when necessary and update the status to client when required.
  • Coordinate with Finance to ensure invoices are issued / payments applied accurately.
  • Ensure delivery final report to client occurs on time.
  • Facilitate internal communications between Sales and Operations.
  • Assist with preparations for conferences and trade shows.
  • Record, update, archive related information & files in a good manner.
Requirements
  • University / college degree or equivalent life skills; chemistry/life sciences preferred.
  • +1 year working experience is preferred in Sales & Marketing is a plus but not required.
  • Good computer skills, proficient in Word, Excel, PowerPoint and Google G Suite.
  • Detail oriented and highly organized.
  • Good time-management skills and have a flexible work schedule (early morning and late evening) to meet customer’s needs.
  • Excellent communication skills in both English and Mandarin.
